Have you ever thought to yourself, “How do the fine people at Interfolio help me turn my academic credentials into a high paying job?” Ok, well maybe not in those exact words, but have you ever wondered what goes on behind the scenes at Interfolio, the path your documents take from the time they are uploaded to the time they are sent out? As our Manager of Document Processing, I figured I would break it down into three quick and easy steps.

  1. When your document arrives at Interfolio, whether it is a letter of recommendation, an unofficial transcript, test scores, your dissertation or anything else you might wish to upload (you can send us restraining orders too!), it is opened and sorted by a member of our Quality Assurance Team.

Once all the incoming mail has been sorted, your account is updated to let you know that your document has arrived.  Your documents are then sent through our scanners, which read the bar codes on the Interfolio cover sheets, so that our servers know to place the document in the correct space in your Interfolio Dossier account.  If any of your documents arrive without the Interfolio cover sheet, we use our crack squad of clairvoyant Quality Assurance Team Members to locate the correct space, and print out a cover sheet for your document.

Once the document has been scanned in, it is looked over by a member of our Quality Assurance Team to make sure that the correct document is being uploaded, and that its quality meets our exacting standards. Once everything has been quality checked, the file is uploaded to your account, and is ready to be delivered!

Which universities in USA and Canada are accepting application processed by My Credentials Vault?

Hi IJ,

The vast majority of universities in the USA and Canada accept application materials from Interfolio via the My Credentials Vault Service. We've been working in the higher ed space for over a decade now, and have made quite a few friends in graduate admissions offices along the way!

To give you an idea of our reach, I've been working here for almost two years and in that time I can count on one hand the number of rejected Interfolio applications.

How long does a sent letter (teacher mailed it in) take to get processed and uploaded

It really depends on the method that your teacher uses to send the recommendation to our Washington, D.C. address. However, once the letter reaches our offices, we process and upload it within 1-3 business days.

Furthermore, we make sure to send each user an email when his/her document has been uploaded. This increases transparency for you and cuts down on support calls for us! ;)

Can we ask for the paper document that we send in for uploading to be returned to us? I would like to hold on to the original document myself! Thanks.

If the file is non-confidential, the original paper document can be returned to you directly. Just email our support team to request this; we can do it free of charge.

Do the letters of recommendation that are sent to the respective schools have to have the original signature from the writer or do schools accept the scanned copy? thanks

Jon,

Your letters are digitized so that you can send them as many times as you like to as many schools as you like. To clarify, when you send a delivery, the duplicated document is sent where you are applying instead of the original file.

If a document contained signature when it was uploaded by that particular writer, the signature will remain intact when the recommendation letter is shipped out.

The documents I want to upload may be a litter larger than the capacity. Do you have technique to shrink my documents in order to upload them successfully?

Yuzhuo,

You can always shrink the documents, on your own computer, before upload. Applications like Adobe Acrobat and Mac Preview have this functionality built right in.

Also, there is no file size limit for Interfolio documents. If you ever have difficulty uploading a file, you can contact help@interfolio.com or (877) 77-FOLIO for assistance!

All of my letters of recommendation are in a file at my school. If I want my school to release my letters to Interfoliio, how would I do that?

You will want to ask your school to transfer your file. You can hand them an Interfolio Credential File Transfer form which can be found at this link http://www.google.com/search?q=file+transfer+interfolio&ie=utf-8&oe=utf-8&aq=t&rls=org.mozilla:en-US:official&client=firefox-a.

If your files are stored electronically, then can be sent to conversions@interfolio.com.

How do you attach documents like my personal statement and resume to letter request emails being sent out to professors?

You will not be able to attach documents to requests sent out from Interfolio, however, you can attach the Interfolio request form to a personal email to your referee along with your personal statement and resume.

I will be using My Credentials Vault to send my documents to SUNY Binghamton. In case of transcript, can I upload a scanned copy of the official transcript myself to My Credentials Vault? Or will I have to ask my university to do it?

Junaid,

You can upload a copy of a transcript yourself. On your Add Documents page, select "other document" as the document type and choose the electronic submission. This will give you the ability to browse your computer for the file.

I recommend that you contact receiving institutions to see if they will accept copies of transcripts that you have uploaded.
